Configuring actions¶
The settings about which action is executed for which data are saved in configurations. You can manage several configurations and execute the corresponding action as required.
Proceed as follows to create a configuration:
- Click on the Create button in the menu bar.
The wizard for creating a configuration is started. You can use the Next and Back buttons to navigate between the wizard dialogs. -
The wizard starts with a foreword containing general introductory information.

To prevent the Introduction dialog from being displayed, deactivate the Show this page again checkbox in the dialog. To show it again, click on the Show introduction button in the Help menu bar.

Enter the configuration name in the Create configuration dialog and click on the Next button.

The name may have a maximum length of 64 characters and must be unique among the existing configurations.

In the Define action dialog, select which action is to be executed with which data.
Use the options in the The following data will be archived: area to select whether you want to save component data or database entries. Below the selected option, the corresponding checkboxes with subentries are activated. You can select one or more checkboxes.

The Next button of the dialog is only activated if you have activated at least one of the checkboxes.
In the Type of archiving area, select the action you want to perform.

If you have selected Permanently move and click on the Next button, the Settings for moving dialog is displayed.
In the Change history of affected components, you can specify whether outsourced versions should continue to be displayed in the change history or be removed from it.
- If the outsourced versions are removed from the change history, the first visible version of the component is no longer version 1, but the lowest version after the outsourcing.
- If the outsourced versions are retained in the change history, the complete version history with all changes can be traced.Info
An outsourced version can no longer be restored or retrieved.
In the Base version of affected components area, you can specify whether the base version of outsourced versions should also be removed from the server archive.

Click on the Next button and further restrict the data for which you want to perform the action in the Included data dialog.
Here you can define rules as to which data should be copied/removed. You can make this decision according to the age of the entries or the date on which the data was created. A defined number of entries can remain in the server archive by default.

Click on the Next button and enter the directory to which the data is to be copied or swapped out in the Destination directory dialog.
- Click on the Next button. If component data is to be copied/exported, the dialog Components to archive is displayed. All components on the server are displayed here. You can use the arrows to select which components are to be included in the action.
- Click on the Save button to complete the wizard.
The configurations and their details are displayed on the Archive Manager module start page.

If you double-click on one of the fields, the corresponding dialog of the wizard opens, in which you can edit the entries.
You can use the Duplicate and Delete buttons in the menu bar to copy the selected configuration or delete it after a confirmation prompt.
